How to Scan Documents into Notes on iPhone or iPad

1. Open the Notes App

The Notes app on your iPhone or iPad is where you’ll store your scanned documents. Start by opening the Notes app:

  1. Launch the Notes App
Find and tap the Notes app icon on your Home Screen.
  2. Create a New Note
Tap the Create New Note icon (the square with a pencil) in the bottom-right corner of the screen to start a new note for your scan.

2. Start the Document Scan

Once you have a new note open, you can start scanning your document directly into the note.

  1. Tap the Camera Icon
In the new note, tap the camera icon located above the keyboard.
  2. Select “Scan Documents”
A menu will appear with several options. Tap Scan Documents. This will open your camera, ready to scan your document.

3. Scan the Document

Now you can begin scanning the document. Follow these simple steps:

  1. Position the Document
Place the document you want to scan on a flat surface, ensuring it’s well-lit and fully visible within the camera frame.
  2. Automatic Detection
The camera will automatically detect the edges of the document and capture the scan. If the automatic scan doesn’t trigger, you can tap the shutter button manually.
  3. Adjust the Scan (If Needed)
After the document is scanned, the app will show a preview. If the edges are cropped or the scan looks unclear, you can adjust the corners by dragging them to the correct positions. You can also tap Retake to rescan the document if necessary.
  4. Scan Multiple Pages (Optional)
If you’re scanning a multi-page document, tap the Add Page button after the first scan, and the camera will be ready for the next page. Continue scanning until all pages are captured.

4. Save the Scanned Document

After scanning all pages of the document, you can save it to your note.

  1. Tap Save
Once you’ve finished scanning, tap Save in the bottom-right corner of the screen. The document will be saved directly into your current note.
  2. Adjust the Scan (Optional)
If you need to make any adjustments, such as changing the filter (color, grayscale, etc.) or cropping further, tap the document to open the editing options.

5. Organize and Manage Your Scanned Document in Notes

After saving your scanned document, you can organize and manage it within the Notes app:

  1. Add Text or Annotations
You can add text, highlights, or drawings to your scanned document by using the markup tools in the note. Tap the pencil icon to access these options.
  2. Organize Your Scanned Note
You can move your scanned note into a folder for better organization. To do this, tap Edit in the main Notes screen, select the note, and tap Move To to place it in a specific folder.
  3. Search for Scanned Documents
You can search for specific scanned documents within the Notes app. Tap the search bar at the top of the Notes app, and type keywords from your document to find it easily.

6. Share the Scanned Document

If you need to share the scanned document with others, the Notes app makes it easy.

  3. Select a Sharing Method
From the share sheet, you can share your scanned document via Mail, Messages, AirDrop, or any other compatible app. You can also save it to Files if you want to organize it separately from Notes.

7. Access Scanned Documents Across Devices

If you use iCloud with your Apple ID, your scanned documents will automatically sync across all your Apple devices. This means you can access your scanned notes from your iPhone, iPad, or Mac at any time.

  1. Enable iCloud Sync for Notes
To ensure your notes are synced across all devices, go to Settings > [Your Name] > iCloud and toggle Notes on.
  2. Access Notes on Mac or iCloud.com
Open the Notes app on your Mac or visit iCloud.com to access the scanned documents from any device.
