The Social Health Authority (SHA) was established under Section 25 of the Act to consolidate contributions made under the law. It ensures access to healthcare services through empaneled and contracted providers, based on referrals from primary health facilities. Essentially, SHA guarantees quality healthcare for all Kenyan residents without financial strain.

Steps to Register an Employer on SHA

Categories of Registration

Employer registration on SHA falls into three categories:

  2. New Business Registration
  3. Domestic Employer Registration

Each category has a distinct process. Let’s break them down.


1. Activation with NHIF e-Services

This applies to employers already registered with NHIF and who have been making contributions.

Requirements:

  • Business Number: A valid business registration number or Act of Parliament documentation.
  • KRA PIN File: A scanned or PDF copy of the KRA PIN file.
  • BRS Document: Business registration details in PDF or scanned format.
  • Business Contact Details: Information for the company’s representative.

Steps:

  1. Visit the SHA portal and select “Activate with NHIF e-Services.”
  2. Fill in the required details and upload all necessary documents.
  3. Receive an activation code to create your SHA employer account.
  4. Create a username and password to complete the process.

2. New Business Registration

This category is for employers who have not previously registered with NHIF or SHA.

Requirements:

  • KRA Certificate: A valid certificate in PDF or scanned format.
  • Business Registration Certificate: A scanned or PDF copy of business registration details.

Steps:

  1. Visit the SHA portal and click on “New Business Registration.”
  2. Fill out the registration form, including:
    • Organization name, contact name, phone number, physical and postal addresses (optional), and KRA PIN.
  3. Attach BRS and KRA documents in PDF, JPG, or PNG format (max size: 2MB each).
  4. Provide admin details, including the name, email, and phone number of your organization’s representative.
  5. Agree to the terms and conditions, then click “Proceed.”
  6. Verify the details and submit the application.
  7. Wait for approval, which typically takes 3–5 business days.
  8. Once approved, activate your account and begin managing employee contributions.

3. Domestic Employer Registration

This applies to employers with up to five employees, such as house helps or gardeners.

Requirements:

  • KRA PIN
  • Employer Identification Number
  • Phone Number
  • Email Address

Steps:

  1. Visit the SHA portal and click on “Domestic Employer Registration.”
  2. Enter the required details, including your name, ID number, KRA PIN, phone number, and email.
  3. Verify and submit the application.
  4. Set up your password via the link emailed to you.
  5. Log in to your SHA account to manage employee contributions.

Yes, employers contribute 2.75% of their employees’ gross salaries or wages toward SHA.

2. Can I add or remove employees?
Yes, employers can add or remove employees from the portal as needed, ensuring accurate management of contributions.

Failure to register is a legal violation and may result in penalties. It also denies employees access to affordable healthcare.

4. Can I register dependents?
